Become a part of our caring communityThe Marketing organization is seeking an experienced Administrative Assistant to serve as a trusted partner to up to two Marketing Vice Presidents, with the opportunity to support Assistant Vice Presidents as business needs evolve. This role is ideal for an experienced administrative professional who demonstrates sound judgment, anticipates executive needs, and thrives in a fast-paced corporate environment.
In this role, you will provide comprehensive administrative support to senior Marketing leaders, enabling them to operate efficiently and effectively. To be successful in this role, you must have the ability to perform at a high-intensity pace, juggling multiple projects with a positive attitude while producing a quality work product and maintaining strict confidentiality. You must have a solid comfort level in an executive corporate environment and can work independently and effectively in a fast-paced environment, think on your feet, remain calm under pressure, and anticipate needs in advance. Having strong organization skills with the ability to balance multiple initiatives under short timelines and prioritize workload are also critical to success in this role.
Key Responsibilities
- Act as a strategic administrative partner to Marketing VPs, managing complex calendars, competing priorities, and executive schedules
- Coordinate and support business meetings and events, including logistics, materials, virtual access, and catering
- Oversee travel planning and expense management, ensuring accuracy, timeliness, and compliance
- Prepare, edit, and format executive-level presentations, correspondence, and reports
- Serve as a primary point of contact for incoming requests, applying judgment to prioritize and route appropriately
- Proactively anticipate needs, identify potential conflicts, and resolve issues before they escalate
- Maintain a high level of confidentiality and professionalism when handling sensitive information and communications

Required Qualifications
- 5+ years of experience supporting senior leaders (VP-level or above) in a large, complex organization
- 2+ years of experience in executive calendaring, travel coordination, and expense processing for senior leadership
- Proven experience corresponding with all levels of the organization through multiple methods of communication
- Proven experience coordinating and managing several projects and initiatives independently
- Proven experience handling confidential and sensitive information
- Must be located in Washington, DC, Louisville, KY, or Chicago, IL
- Work in a hybrid environment, with a requirement to be onsite two days per week
Preferred Qualifications
- Associate's or Bachelor's degree
- Experience supporting Marketing or other corporate leadership teams
- Familiarity with collaboration and visual workspace tools (e.g., Teams, Loop, Lucid)

Work-At-Home Requirements
At minimum, a download speed of 25 mbps and an upload speed of 10 mbps is recommended; wireless, wired cable or DSL connection is suggested Satellite, cellular and microwave connection can be used only if approved by leadership Associates who live and work from Home in the state of California, Illinois, Montana, or South Dakota will be provided a bi-weekly payment for their internet expense. Pay Range
The compensation range below reflects a good faith estimate of starting base pay for full time (40 hours per week) employment at the time of posting. The pay range may be higher or lower based on geographic location and individual pay will vary based on demonstrated job related skills, knowledge, experience, education, certifications, etc.
$58,400 - $79,800 per year
