Description
The AR Accountant is responsible for a broad range of financial functions, encompassing both operational accounting and specialized project funding. This role requires managing multiple facets of financial transactions while ensuring compliance, accuracy, and timely reporting for our nonprofit development operations.
Requirements
Duties and Responsibilities
Accounts Payable
- Process vendor invoices and manage outgoing payments
- Verify and reconcile invoices, maintain vendor records, and resolve discrepancies
- Ensure all authorized accounts payable entries and supporting documentation are accurately and promptly entered into the accounting system
- Ensure all approved expenses are paid on time via ACH or check
- Communicate payment status updates to staff and vendors
- Reconcile credit card transactions and ensure accurate and timely system entry
- Process payroll, including benefits
- Track payroll allocations across multiple funding sources, including public and private contracts
Accounts Receivable
- Track receivable invoices to ensure impact data is accurate and captured for reporting
- Manage incoming payments and maintain accurate financial records, including mailed payments
- Invoice clients, track outstanding balances, reconcile accounts, and follow up on overdue payments
- Maintain positive customer and donor relationships and resolve billing issues through clear communication
- Accurately enter all income types, including receivables, checks, donations, and in kind support, with appropriate documentation
- Enter donor information into the organization’s CRM system
- Issue donation acknowledgment and thank you letters
Construction Project and Donor Accounting
- Support financial operations related to construction projects and donor funded initiatives
- Track project expenses, manage budgets, and prepare financial reports
- Ensure proper fund allocation in compliance with donor requirements, financial regulations, and project budgets
- Collaborate with project managers, donors, and internal finance staff to ensure transparency and accuracy
Recordkeeping
- Track depreciation, prepayments, and property documentation
- Maintain 1099 contractor records and prepare annual 1099 forms
- Coordinate processing of G37 tax exemption forms and track tax exemption cost savings
- Allocate payroll by funding source and project site
- Prepare month end and year end accounting adjustments
Internal Controls and Procedures
- Follow HomeAid Hawaii internal control policies, including budget administration, cash management, and accounting practices
- Recommend and assist in updating standard operating procedures to improve efficiency and accuracy
Other Responsibilities
- Gather documentation for audits and tax filings
- Perform other duties as assigned
Job Qualifications
Required
- Associate’s or bachelor’s degree in accounting, or two or more years of relevant accounting experience
- Experience with accounts payable, accounts receivable, construction project accounting, and donor or fund accounting
- Familiarity with GAAP accounting principles
- Strong communication skills for working with customers, vendors, and internal teams
- Solid understanding of accounting fundamentals, compliance requirements, and best practices
- Strong organizational skills with the ability to self start, multitask, and adapt
- High attention to detail and accuracy
- Ability to manage multiple deadlines and shifting priorities
- Proficiency with QuickBooks, Bill.com, and Microsoft Office tools
- Data entry experience and familiarity with Salesforce and Smartsheet
- Valid driver’s license and auto insurance
- Ability to pass a background check
Preferred
- Nonprofit accounting experience or experience with a housing developer
- Passion for affordable housing and supporting individuals and families experiencing housing instability
Physical Requirements
- Ability to sit and work at a computer for extended periods
- Occasional standing, walking, bending, reaching, and lifting up to 25 pounds
- Ability to operate standard office equipment
- Hand eye coordination and manual dexterity for office tasks
- Visual acuity to read printed and digital materials
- Ability to communicate clearly verbally and in writing
- Adequate hearing and speaking ability for in person, phone, and video communication
